Auto-Renew and Auto-Termination

By Mariela Isaacura

LegalSifter Control can automatically update contracts when a termination/renewal date is reached, depending on the Term Type associated with the contract.

When enabled, the Automatic Evergreen Renewals feature will automatically extend the Anniversary Date for a contract with the Term Type "Evergreen/Silent End Date". This extension will use the Renewal Term to identify the new Anniversary Date.

When enabled, the Automatic Renewals feature will automatically extend the Termination Date for a contract with the Term Type "Fixed with Auto Renewal". This extension will use the Renewal Term to identify the new Termination Date.

When enabled, the Automatic Terminations feature will automatically mark a contract as "Inactive" upon reaching the Termination Date, if the Term Type is "Fixed".

You can activate or deactivate the Automatic Renewals and/or Terminations by clicking on Administration > Settings

Activate Automatic Evergreen Renewals

When enabled, the Automatic Evergreen Renewals feature will automatically extend the Anniversary Date for a contract with the Term Type "Evergreen/Silent End Date".

A document is considered eligible for renewal if it meets the following conditions:

  1. The document must be an Executed Agreement.

  2. The document must have the Contract Status Active.

  3. The document term type is Evergreen/Silent End Date.

  4. The document Anniversary Date is set, and it’s valid.

  5. Renewal Terms (months) is set and is a valid number.

Anniversary Date will be updated using the current Anniversary Date + Renewal Terms (months).
Example:

  • Anniversary Date = Mar 20, 2025

  • Renewal Term (months) = 8

  • New Anniversary Date = Nov 20, 2025

If any of these conditions are NOT met, the document is deemed **not renewable**, and the anniversary date will NOT be updated.

Activate Automatic Renewals

When enabled, the Automatic Renewals feature will automatically extend the Termination Date for a contract with the Term Type "Fixed with Auto Renewal".

A document is considered eligible for renewal if it meets the following conditions:

  1. The document must be an Executed Agreement.

  2. The document must have the Contract Status Active.

  3. The document term type is Fixed with Auto Renewal.

  4. The document Termination Date is set, and it’s valid.

  5. Renewal Terms (months) is set and is a valid number.

Termination Date will be updated using the current Termination Date + Renewal Terms (months).

Example:

  • Termination Date = Sep 2, 2025

  • Renewal Term (months) = 8

  • New Termination Date = May 2, 2026

If any of these conditions are NOT met, the document is deemed **not renewable**, and the termination date will NOT be updated.

Activate Automatic Terminations

When enabled, the Automatic Terminations feature will automatically mark a contract as Inactive upon reaching the Termination Date, if the Term Type is "Fixed."

A document is considered eligible for termination if it meets the following conditions:

  1. The document must be an Executed Agreement.

  2. The document must have the Contract Status Active.

  3. The document term type is Fixed.

  4. The document Termination Date is set, and it’s valid.

If any of these conditions are NOT met, the document is deemed **not terminated**, and the status will NOT be updated to Inactive.
